Salesforce Release Update 1.0: Tasks, Record Colors & Layout Updates

As part of our continued investment in an advisor-first Salesforce experience, we’ve introduced several enhancements focused on improving clarity, efficiency, and day-to-day usability. These updates are designed to better distinguish internal versus trading activity, make record types easier to identify at a glance, and streamline how advisors navigate Household and Individual records. The result is a more intuitive workflow that reduces manual steps, improves visibility across key client data, and helps teams move faster with confidence.

  1. Task Record Types

Tasks now have two record types to better organize internal and trading-related activity.

Investment Task

  • Used only for trade requests.
  • If linked to a GVA Asset Management (GVAAM) account, the Trading Team is automatically notified.
  • If the account is not GVAAM, the task remains internal.
  • To confirm if an account is GVAAM, check if the GVA Asset Management field is checked (this is automatically determined by Rep ID).

General Task

  • Used for internal team activities such as client follow-ups, meeting reminders, or operational actions.

Key Reminder:
Regardless of where a task is created (Task object or Financial Account), if it’s tied to a GVAAM account and an investment task, the Trading Team will be notified.

  1. Color Coding by Record Type

We’ve introduced color-coded record types across the Households & Individuals and Financial Accounts objects to help advisors quickly identify record types while searching or viewing records.

Financial Accounts:

  • Employer Plan → Yellow
  • Investment → Green
  • Other (No Record Type) → Red

Households & Individuals:

  • Individual → Light Grey
  • Advisor → Navy Blue
  • Household (GVA) → Medium Blue
  • Business Household → Light Blue
  • Professional Relationship Household → Dark Grey

Note: The same color coding appears as a banner at the top of each record page for visual consistency.

  1. Household & Individual Page Layout Enhancements

Record pages for Individuals, Households (GVA), Business Households, and Professional Relationship Households have been reorganized for easier navigation and better visibility of client data.

Household (GVA) Layout Highlights:

  • Email Household now aggregates all active member emails (excluding opt-outs, deceased, or former clients).
  • Simplified Add Relationship process for linking individuals.
  • Clear visibility into Risk Questionnaires, Financial Accounts, Insurance, and Documents.

Individual Layout Highlights:

  • Quick actions in the top panel: Email Household, New Client Review, Log a Call, New General Task, and New Event.
    • Email Household button automatically aggregates emails of individuals linked to the household as long as “Email Opt out” is not selected and the type is not deceased or former.
  • Easily link individuals to households via the “Add Relationship” button.
  • Updated right panel includes: Client Overview, Client Interests, Client Review (auto-calculates next meeting/touch base), Activity History, Financial Accounts, Insurance, and Documents.

Business & Professional Relationship Households:

  • Mirror the Household (GVA) layout, excluding Risk Questionnaire sections.
  • Maintain full access to activity history, financial accounts, and system information.

Advisor Layout:

  • No functional changes, aside from the new navy blue banner to identify Advisor records.
